Day 5: Use triggers in Board View to send custom notifications

During Teamwork Projects’ 12 Days of Features, we’re delivering a brand new feature every day to help you improve your productivity into the new year and beyond.

On the fifth day of Christmas, Teamwork gave to me… a new trigger for custom notifications in Board View!

Keeping everyone up to date on changes to your project can be time-consuming, especially if you need to notify lots of stakeholders.

Today’s feature is here to help. We’ve created a trigger that lets you automatically send a custom email notification to task assignees, task followers, or specific team members when a card in Board View is moved to a specific column, making it even easier to keep team members in the loop.

With these custom notifications, you can give your colleagues or stakeholders all the information they need to take action on a task and complete the project, without the need for time-consuming handover meetings — just put the details in a message.

To access this feature, hover over a column name, select the column dropdown menu, and select Column Settings.

Next, select Add Trigger and click Send custom notification to notify task assignees, change followers, comment followers, or designate a specific user to notify. A text box for a custom message will also appear, so you can leave specific instructions or a friendly note!

Once this trigger is set, it will be listed in the tooltip when you hover over the trigger icon at the bottom of the column and an email will automatically be sent to the selected users when a card is moved to this column.

This trigger is perfect for several scenarios both within teams or across departments. Here are some of our favorites:

  • Notifying an editor that a draft is ready for their review
  • Helping developers alert the QA team that work is ready for testing
  • Sending an invoice request to the finance team

It’s also super useful for communicating with clients. When it’s time to ask for their feedback on your work, this trigger lets you send an email notification with a personalized message. Even if your message is automated,  your clients will feel like they’re communicating directly with you.

Really like this.
One small request, the email notification should tell you which project the card/column came from.

I use a waiting on column in most of my projects and can’t tell from the email which project the alert comes from.

Would be great if the project was in the subject.

Hi! This is great. If the column the task is moved into has a different trigger that says “change who the task is assigned to” and in the notification trigger we say “notify who the task is assgined to”, will the email go to the person who is newly assigned (Based on the current column’s trigger affect) or the old assignee? Thanks!
