Portfolio allows you to see the big picture across all your projects, and in our latest release, we’ve added more automation to give you even more power.


What’s the difference between going through the motions and delivering a great project?

It’s in the way work is managed.

Great project managers bring out the best in their teams. They’re the glue that holds everything together. They keep the momentum going when things get tricky. And above all, they know the importance of working to deliver exceptional results.

Great project managers make it look easy. But keeping all of the moving parts of your project in motion is no mean feat — and that’s just for one project. As you scale, it can become almost impossible to keep an eye on everything that needs your attention across multiple projects.

And when those projects are client-facing, having that ability to gauge progress at a glance is even more crucial, because your clients’ happiness is dependent on you being able to reliably and consistently deliver the outcomes that matter to them.

That’s why we introduced Portfolio to Teamwork Projects last year: to give people who manage large amounts of projects a panoramic view of where each project stands. Portfolio uses the intuitive concept of board view at a more strategic level, allowing you to drill into any individual project for more details with one click.

Whether you’re looking for top-level updates, reporting on project statuses in team meetings or with clients, or a quick way to drill in for more details, Portfolio gives you a bird’s eye view of where your projects stand as a collective.

Now, we’ve added Triggers to Portfolio, to enhance that power and allow it to become a more integrated part of your workflow.

Added Automation

Triggers allow you to increase automation across your processes, so you can streamline your workflow, save time, and keep things moving without having to make manual changes.

In this release, we’ve added five new Triggers to Portfolio columns. Here are just a few things you can do with them:

1. Replace/Set/Remove tags

When you move a project between columns, you have the option to automatically add or remove tags based on the column it’s added to. For example, if you moved a client project into the “Final” column, you could automatically assign a tag that says “Send Invoice” to that project. Then you could set up an “Invoice” filter to allow you quickly view which clients you need to send invoices to.

2. Set Project Owner

This trigger allows you to change the project owner automatically when you move the project to a certain column. For example, when you move a project from a “Briefing” stage to a “Kick off” stage and want to automatically assign a project manager.

3. Set dates/update dates

This allows you to automatically update both start and end dates when moving projects between columns. For example, you can set the amount of time you expect each project to stay in a particular phase or column, and update the end date based on that, e.g. when moving a project to the “Client feedback” column, you can create a trigger to automatically add two days to the due date to allow for feedback.

4. Update project category

This allows you to update the project category as you move it into a project column, so for example, you may want to categorise a project automatically as soon as a client has approved the scope of work or signed the contract.

5. Archive project

This allows you to automatically archive a project. For example, you might decide to archive your projects as soon as they’re moved to a “Complete” column, so you can keep your Portfolio up to date for more accurate reporting.

We’ve also added a progress bar to each card. This chart displays what percentage of all the tasks on the project have been completed, so you can truly see where things stand at a glance.

With each card in Portfolio representing a project, you can retrieve even more detail by simply clicking the card. This will open up the same project summary that you’re used to seeing in your Overview.

From there, you can analyze the project’s progress even further. Check how many tasks are overdue or completed; see the performance of individual team members; view what’s on the task board; review the project trend; and more.

Still looking for the ability to have multiple Portfolios where the same project inhabits multiple Portfolios. One Portfolio for project status, one Portfolio for project location (Tokyo Office, Toronto Office, New York Office), etc, etc.
