Introducing Change History for Tasks

Posted

Learn how our latest feature gives you a detailed Change History on tasks, so you can focus on the big picture — without losing track of the specifics.

Change is inevitable. Whether you’re working with clients or internal stakeholders, it’s likely that your project is going to take a few twists and turns that you might not have anticipated at the outset.

No matter how quickly things move in your project, however, we want you to be able to track every single detail — without inhibiting your momentum.

That’s why we’ve added Change History to tasks. Change History gives you a full breakdown of the entire history of your task — who changed what, when — so you can focus on the big picture without losing track of the specifics. Now you’ll always know where to find the information you need, so you can proactively source it whenever you need to, without worrying about being subscribed to any notifications.

Having this kind of granular traceability not only helps you to work with more context and clarity — it also equips you for more transparent change management and ensures your conversations with stakeholders are fully informed and detail oriented.

It’s there when you need it, and out of your way when you don’t. Because you know what they say: those who don’t learn from Change History are doomed to repeat it.

See your tasks in HD

The real gold in this feature is the kind of detail you can see. Changing a column, adding a tag, pushing a due date… now you can quickly see at a glance who changed what, in more detail than ever before.

A more independent, transparent client relationship

Give your clients the autonomy to make adjustments themselves without having to ask you — and without losing sight of their changes.

Look at where you are. Look at where you started

Track your progress with full visibility over everything that’s happened from start to finish. You can even link directly to each action in the task’s history for easy sharing.

Keep the team on track

With full visibility over every update, including changes to the due date, you can easily adapt for any changes to your deadlines and keep an eye on projects that might be at risk of falling behind.

How does it work?

To access the task history, use the task options menu and select View History.

Task-View-History-Teamwork-Projects

You’ll see a quick view panel with a list of all the changes that have been made to the task, including the type of action and the previous and new property. For each action in the history, you can copy a link directly to that action.

Task-CopyLink

This link will open the task details screen, show the history panel, scroll to and momentarily highlight the action you linked to.

You’ll be able to see all the task’s history from launch. Some sporadic items may also appear from before that date however due to testing while the feature was in beta.

Future development

The tasks area is our first instance of this feature but we have big plans to add it to other areas of the product as well. Stay tuned!

Awesome! We’ve been wanting this feature for quite some time. It’s handy for accountability and other reasons, and we like the way you implemented it.

Thanks again for having the best service in the business, and particularly for being responsive to your customers’ needs and requests.

Hey Kevin, just following up on your question – I’d love to hear a bit about the background to your request!

Is it that you’d often find yourself in a situation where you want to check the details in the history quickly from the list view – is there something in particular that happens often in your workflow to prompt that? If you’d like to reply with a bit more room to type, you’re welcome to drop an email to support@teamwork.com and I’ll get it there 🙂

My name’s not Kevin, but I’m still replying! 🙂
I agree that this is a great feature to have in there for accountability and visibility whether internal or external.

You are making it harder for me not to renew when the time comes 😉

I was surprised to see that this feature includes history dating back to at least 6 months ago.

We do our best Randy 😉

Yes, due to the nature of testing this feature on Beta, you may see some data going back as far as that.

Can we please get proper minutes and agenda embedded into the software with easier generation of tasks, decisions and risks?

We end up using 2 systems with duplication as the file note method is not fit for current use

Thank you

I’m not sure what Sam is asking for, but “minutes” and “agenda” are a two-sided feature that I would like to see (for much the same reason, I don’t want to use additional tools). There are tools for creating an agenda that are shared with all attendees of an upcoming meeting, then the “minutes” records the decisions of each agenda item which could spawn action items (assigned tasks). Right now I summarize my discussions in a single notebook and add tasks independently. It would be nice to have an online solution for meetings that is either a part of Teamwork or integrates with it.

Hi, that is exactly our same issue with meetings, minutes and tasks generated in those meetings. We have to created tasks apart and manually link them putting the link in the description (“from minute…”) and on the notebook (“attending in task…”).
A native functionality to manage minutes and tasks linked in two ways would be great!

I LOVE this idea as we’ve been looking for a way to roll back particularly when changing dates on a task. However, although I see the View History option I only see a high level summary of actions with no detail and no option to link to the action. Is this because we’re on the Startup plan?

Hi Rachel

Thanks for your feedback, so glad to hear you like the feature 🙂

Yes while we’ve added this extra capability for the Premium and Enterprise plans, you will still see the original task activity view that shows that it was edited, when and by which user as part of your plan, as we haven’t taken that away.

Do reach out to us if you’d like to learn more about the Premium plan – our team would be happy to chat to you about what that might look like for your business.

Thanks,
Katriona

Not sure if you’re planning on adding this (or have already added it) but history of tags would also be nice to have.

Thank you. We have Corporate plan so I guess we have not access to this great feature, have we? Changing to next billing plan is not in our mind because we think the most important reason for that change would be number of projects and disk capacity (we don’t need that).

I’d asked about this ages ago so was thrilled to read about it in What’s New.
But like a lot of your really useful features (e.g. portfolio view), this is restricted to higher paying plans.
Such a shame for customers (like me) who have previously helped test new stuff (e.g. board view) and made suggestions for ways to improve the product (from a user’s point of view) which makes your product better….but only for those payer larger sums.

Hi Suzie,

Great to hear that you’ve been part of our design partners program, it’s really important to us to get real user feedback before we release anything.

In the case of Board view, we made that available to all customers – even on our free plan – so we think that is pretty awesome.
We also aim to make almost every feature available in some capacity on all plans.

Portfolio view is a feature that provides a big picture view for businesses that have a lot of projects – so we decided this would be most suitable for our Premium offering.
Our goal is to provide the best range of solutions and plans to suit all levels of businesses.

We hope you’ll continue to give us feedback and help us make the best possible experience for all our users!

This is brilliant, but it doesn’t seem that you have anything in place yet to produce the artifact for the normal source of the change: the customer request.

A customer request document is crucial to later provide justification of a request. The entire project could fail due to a single change request which is why it is important to track the metrics of a request. Here is a great sample app that has everything except an web interface and robust db to provide all the relevant details: http://www.snappii.com/app/construction-change-order/. I’m sending further details to Diarmuid regarding why these metrics are so crucial for your product.

We can see how this would be a useful addition so I’ll pass this onto the product team!

Dear Teamwork Team, Thank you for this feature, it’s helps a lot, do you plan to continue with features for analysis of task in column/status, lead time for task, etc. for better tasks flow understanding and fruitful discussions during Retro?

Katriona O'Mahony

Hey Igor

Thanks for your feedback and glad you like the feature.
This is something we’d be interested in doing in the longer term but haven’t made plans to move forward with it at this stage.

I’ve flagged your feedback to the product team however to let them know there is interest in having this functionality 🙂

Thanks

Hi Katriona,
great feature!

Is it possible to show items such as “comment added” and “file uploaded” in the history?

Thanks,
Ben

Hi Ben

We will be looking at expanding this feature in the future so I’ll be sure to pass on your feedback to the product team.

In the mean time, have you enabled the new Dashboard for your team? There you’ll be able to try out the new filters on the activity feed which may get you the information you need.

Hi katriona,

Every business, whether small or big has the similiar requirements , only the volume changes in some cases.
We love Teamwork as it has given level playing field to every one for years whether the business is small or big . Now teamwork started discrminating !! Those who will pay more will get all the features. Those of us , the small businesses who have been supporting Teamwork for years are being left out on your great features becasue of the pricing . Its not fair.

Hi Sridhar,

I’m glad to hear you guys are fans of Teamwork!

We’ve always had tiered plans however, as is the nature of any software business and indeed any product offering.
I’m sorry to hear you feel you’re being left out of features, but we do make all of our core features available even on our free plan.

In fact, we offer more functionality on our free plan than most other companies, and this is because we really value our customers, especially those who’ve been with us from the start.

I hope you understand that we have to offer different price plans to suit the varying needs of all our 24,000 customers. In this way, we can grow the business to build better products and serve our customers and all our dedicated employees in the best way possible.

I hope you’ll continue to use and enjoy Teamwork Projects.

Thanks
Katriona
