August Updates: What’s New in Teamwork Projects?

In case you missed them, here’s a roundup of some of the small but awesome changes we’ve made to Teamwork Projects over the last few weeks.


This month we’ve added options to allow you to filter more efficiently and get even more creative with your Notebooks and Milestones. Here’s the rundown!

1. Exclude Tags Filter

You now have the option to exclude certain tags when filtering your tasks, allowing you to view even more granular information. For example, you could now run a filter to get an overview of the tasks you have due in the next 30 days, but exclude the tasks you’ve tagged as “on hold” or “waiting for feedback,” so you get a more accurate view of your workload. Tags can be excluded for tasks within the Everything area of your site and also at a project level.

2. Board View Gets a New Trigger

Now it’s easier than ever to keep your Board View and List View in sync. We’ve added a Modify Task List trigger to Board View so you can set cards to automatically move to different task lists in the project. If you’re a fan of using both List View and Board View together, this will make it much easier and more efficient to build your workflow around them.

For example if you have a “Completed” column, you can add a trigger for cards in this column to move to a “Send to client” task list.

3. Emojis for Milestones and Notebooks

Now when you are creating or editing Milestones or Notebooks, you can use emojis to let your colleagues know just how 😁, 😎 or in 💗with 🍕 you are. 

Emojis can be added using Markdown, which is as easy as inserting a colon before and after the emoji you want to use. You’ll find hundreds of emojis on this cheat sheet to get creative with!

4. Easier Access to Gantt chart

The Gantt chart is great place to get a high-level view of all the tasks on a project ——and now it’s even easier to locate. Previously you could select Gantt Chart under views in the left pane but now you can simply click on the new Gantt chart icon to the right of the Board and List Views.

5. New Editing Options for Notebooks 

When creating a Notebook, you can now insert tables and add background text color. This allows you to present information in a more engaging way and highlight areas that need more attention to your team members.

Love the “Exclude Tags Filter”! Can you also add an exclude company option? I would like to run searches and exclude my company and just get info on my clients.

I absolutely agree, we really need this as we have master template projects, which keeps appearing every time we run reports on tags.

Hey guys, it’s great that you keep pushing out new features, but I think it would be best to re-evaluate how they’re working together as it’s sometimes too complex. Changing between list view and board view should be more seamless, for example.

Keep up the nice work, but definitely don’t forget that sometimes simple is better!

Teamwork Timer: I use this a LOT. It’s fabulous that you can create a new task right from the timer. But, there’s always space for improvement.

Before I use the New Task action I often first try to navigate to the task – only to realize that it doesn’t exist yet. When there are many task lists and tasks, it can be quite a jungle to wander.

Then, when I click the New Task -button, my selections from the task lists are reset and I have to go through task lists again. Often a task gets created in the wrong task list if I’m not paying proper attention.

Would it be possible to make it so that the New task -functionality would remember my selections from the earlier phase?

Process: Add timer -> Task: Select… -> Browsing… Umm, the task doesn’t exist in the task list yet -> New task -> Give name -> press Add task -button

Good Stuff. Some input for further updates:

1. on the filters.. the abilty to exclude is great.. the BIG missing thing on people search (created by / assigned to) would actually be .. ANYONE BUT ME.. or just exclude oneself.. self assigned and 3rd party assigned tasks have a different dynamic (like also within a team)

3. 95% of emojis will never be used if its markdown only, please add like on other platforms such as whatsapp where one can actually visually pick them

The board view keeps getting better and better over time. The more I use it the more I realize its potential for keeping me on track.

Two things would make the bard view better:
When the columns are open, the number is visible showing active cards. This would be helpful to show in the collapsed view as well.

To open a collapsed column all you need do is click on the name. Why not allow collapsing the card by clicking or double clicking on the header of the column.

Hey Kat,

So I was in the board view yesterday and to my surprise I see that the team has implemented the changes that I recommended back on the 10th.

So it seems, to be a man of my word I am going to be visiting Ireland soon to buy the TW crew a beer at one of the local pubs as promised. Ireland, here I come. )

I have a task where I have 20 days time estimated, and split this into subtasks where the days are split. I’d love to be able to hide the task card on the board so the developer only sees the subtasks and doesn’t incorrectly work on the main task. Ideally there would be a parameter against any given task in list view to say – appear on board, which is defaulted to yes as standard.

Interesting request – I’d suggest maybe assigning only the subtasks to the developer in question and not the parent task, they could then apply a filter to only see cards assigned to them on the board and that way will only see those tasks.

any idea how far away the Resource Management tools will be? Its the one gaping hole we have currently and need to find another solution for it

We have no specific timeline for resource management that we can share right now unfortunately, but it is on our roadmap as a priority. RE: Exclude Tags Filter
I notice it’s only available inside a particular project, and it only works on task tags, not project tags?
We need to be able to filter for tasks with specific tags and exclude others, but over our entire project list, not manually per project. We may have projects which are on hold, unfortunately, the only status we can give a project is active, completed or archived. So we used an ‘On Hold’ tag, however when filtering for active tasks for projects we cannot filter the results for ‘does not include ‘On Hold’ tag. This would save us a lot of time.
We also need the ability to exclude Companies/Projects, vs selecting multiple, we need to be able to filter out our own to view client only ones. This would solve the major reporting gaps that we’re experiencing and alleviate a lot of manual handling. Would love to see these added to the roadmap? Pretty please with caffeine on top?

Would love to see unique, series-based (setting per project) numbers for tasks. It’s hard to reference a list of requirements or tasks without a numbering system in place. Ability to combine and relate tasks is also important. Without numbering, it makes discussions and reporting longer and harder during communications with project teams.
